Studio Policies

At Haven Pilates, our policies are designed to create a smooth, respectful, and supportive experience for every member. Thank you for helping us maintain the care, structure, and community that make Haven special.

Cancellation Policy

Clients may cancel classes without penalty up to 12 hours before the scheduled class time.

  • Cancellations made within 12 hours of class start time will incur a $15 late cancellation fee.
  • Failure to attend a booked class without canceling (“no-show”) will result in a $30 no-show fee.

These policies allow us to fairly accommodate waitlisted members and maintain class availability for everyone.

Grip Socks Policy

Grip socks are required for all classes for safety and hygiene purposes.

  • If you do not have grip socks, they are available for purchase at the studio.

Pregnancy & Injury Disclaimer

Clients who are pregnant, recovering from injury, or managing a medical condition must:

  • Obtain clearance from their physician confirming approval to participate in physical activity.
  • Notify Haven Pilates instructors and management of their condition prior to class participation.

Clients are responsible for communicating any limitations, discomfort, or changes in condition before and during class.

Haven Pilates reserves the right to recommend private sessions or modifications when necessary for safety and class appropriateness.

Membership Freeze Policy

We understand that life happens, and sometimes you may need to pause your membership.

  • The first membership freeze is complimentary.
  • Any additional freezes are subject to a $25 monthly freeze fee.
  • Memberships may be frozen for up to 3 months per calendar year.
  • Freeze requests must be submitted before your next billing date and prior to the requested freeze period.
  • Retroactive freezes are not permitted.
  • Memberships will automatically reactivate at the end of the selected freeze period.
  • Medical freezes are exempt from freeze fees with valid medical documentation and may be extended as needed based on the condition.

Membership Cancellation Policy

Membership cancellations require 30 days’ written notice prior to the next billing cycle.

  • Members who cancel within the first 3 months of their membership commitment remain responsible for completing the minimum 3-month payment commitment.
  • Memberships may be canceled using the same method used to sign up.
  • If you are unsure how to cancel your membership, please contact us at the studio or via email.

All cancellations will be processed according to the terms of the membership agreement. Applicable fees or penalties may apply.

Failure to comply with studio policies, membership terms, or respectful studio conduct may result in immediate termination of membership privileges at the discretion of Haven Pilates. In such cases, refunds will not be issued.

Waitlist Policy

If a class is full, clients may join the waitlist through the booking system.

  • If a spot becomes available, clients will automatically be added to class and notified through the app, email, or text (based on notification settings).
  • Clients are responsible for monitoring their waitlist status and removing themselves if they no longer wish to attend.
  • Standard cancellation policies apply once added into class from the waitlist.

Expiration Policy

Class packages and promotional offers expire according to the expiration date listed at the time of purchase.

  • Unused classes, memberships, or promotional sessions cannot be extended, transferred, shared, or refunded unless otherwise stated by Haven Pilates.

Expiration dates help us maintain fairness, scheduling consistency, and availability for all members.
